Refund & cancellation policy
Last updated: 28 July 2026. This policy applies to CloudOrbit professional engagements for month-end variance analysis, budget baseline reviews, ledger reconciliation support, and variance narrative coaching.
Eligibility
Fees are tied to scheduled close windows and prepared work. Refunds depend on how far preparation and interviews have progressed when you cancel or reschedule.
Deposits
Fixed-fee close engagements typically require a 40% deposit to reserve the close window. Coaching sessions may require payment in full to confirm the date.
Full refund
A full refund of amounts paid is available if you cancel in writing more than ten (10) business days before the agreed soft-close start date (or workshop date), and we have not begun substantive preparation using your ledger extracts.
Partial refund
If you cancel between ten and five business days before soft close, we retain the deposit for reserved capacity and refund any additional prepayments not yet earned. After work has started (extract review, bridge build, or owner outreach), fees for completed stages are non-refundable; unused later stages may be credited toward a future close within six months.
Non-refundable items
- Completed owner interview days and delivered variance pack drafts
- On-site travel already incurred with prior written approval
- Third-party room hire booked at your request
Rescheduling
One reschedule with at least five business days’ notice is usually accepted without extra fee, subject to our availability around other clients’ closes. Shorter notice may incur a reschedule charge of up to 15% of the engagement fee.
No-shows
If key client contacts miss scheduled owner interviews without notice and the leadership pack deadline cannot move, unfinished commentaries will be marked pending and the fee for scheduled interview time remains payable.
Work already started
Once bridges are drafted from your extracts, that stage is billable even if you later pause the engagement.
Refund process & timing
Email hello@cloudorbit.digital with the engagement reference and reason. Approved refunds are processed within fourteen (14) business days to the original payment method where possible.
